Facility Managers should use CiMAS to reduce their paperwork

Equipped with a CIMAS handheld device, users move through an environment, entering observed data into purpose-built electronic forms. At an appropriate time they access the CIMAS web portal and upload their findings via a GPRS wireless Internet connection. Authorised users can then log into the internet portal (anywhere in the world) and see real-time information. With CIMAS, software managers can generate targeted reports that provide up-to-the-minute statistical information as well as trend-analysis reports and other business information. Triggers can be used to automatically email the latest data to registered CIMAS supervisors/managers and to other authorised users of the CIMAS devices. The information can alert managers to any corrective action that may need to be managed.

How the system works

Dynamically Generated Checklists

Once a form has been selected by the user, the contained information is presented in the form of a navigatable checklist. Response presentation comprising descriptive text, option buttons, multi-choice checkboxes, and text boxes, unique to each question, can be displayed.

User Process

One-tap actions provide instantly recognizable responses. Separate user observations and comments may be entered for every question, with drop-down lists providing standard (user-defined) text phrases for selection. The ability to make notes is also provided. These can be typed, written or voice recorded. Additionally, supporting photographic evidence can be attached if supported by the functions of the Pocket PC.

User Friendly Interface

Details of each question or action are presented sequentially for response. Buttons provide easy navigation through the checklist or process as well as section jumps.

Automated Functions

Drop down lists can be added to allow the user to flag urgent issues or identify serious non compliance matters. These flags are recognised in the process of uploading the data and the key personnel or strategic stakeholders are then advised by email of the action required.

Reports and Action Logs

Uploaded data may be retrieved for review and reporting purposes at any time. At this stage, Corrective Actions, findings and other reporting functions can be carried out. Additionally, any flags or non compliance issues are maintained on an action log and constantly updated until the matter raised has been acted upon and acknowledged.

At the heart of the CIMAS is a very customizable and flexible framework that allows for a wide variety of industry specific business logic to be managed in a very cost effective manner that can free up your field personnel to focus on increasing their customer service.

1) Auto default all areas of the form to the agreed score on opening

2) Auto upload of completed inspections/Inspections - This function provides a friendlier user interface. On completion the form will automatically upload when the user selects the submit option.

3) Unlimited uploads/time locked - this feature allows the user to inspect a site or location as many times as they wish and records the time each Inspection was submitted.

4) Expand exception report function - This will allow the client to set the Inspection schedule and then be able to generate a report that addresses the following;

A) Site activity

B) Shift activity

C) Area activity

D) Frequency by shift/day/week /month/quarter

5) Auto report generated - This function provides the following outputs and is sent to the web server for management and client to access;

A) Daily inspection/Inspection history

B) Task error history

C) Error completion history

D) Analysis of performance trend

6) Auto email advice on report availability - This function auto email's management and or client when report is generated at the end of each day or a pre determined time.

7) Auto download error report to PDA - This function generates an error report which is sent to the defined PDA when the user logs on. The report will be segregated by shift, am & pm.

8) Error Correction - This function allows the Shift Manager to Inspection & sign off errors that have been completed - time/date/user recorded.

9) Error report upload - This function allows auto upload of the error Inspection by the Shift Manager. This data is then included in the daily report advising completion of errors

10) Error Completion Advice - This function auto emails management and or client to advise an error correction report has been uploaded for viewing.

Case Study - Queensland Rail

Queensland Rail’s train services encompass a range of commuter rail services throughout Queensland. In October 2003, Queensland Rail incorporated the CiMAS solution to facilitate to make an independent assessment of the standard of cleaning services that were being provided across their suburban and inter-suburban commuter train networks, and to recommend improvements to these processes.

Queensland Rail’s objective was to implement a total performance management regime for its rolling stock cleaning services. The goal was to establish processes that would enable them to achieve industry best practices, part of which would involve benchmarking their outcomes against the other state rail services.

Queensland Rail installing the CIMAS system to monitor staff productivity and to provide real-time information to rail management. the CiMAS solution is now involved in carrying out periodic independent compliance inspections of the cleaning on the Citytrain rolling stock.

During the process of implementing CIMAS, other departments within Queensland Rail became aware of the CiMAS’ state-of-the-art performance monitoring system. These departments have now expressed an interest in using the system themselves.
